
The golden rules for packing and shipping a valuable watch
Choose the right packaging to protect the watch and all accessories that go with it, such as boxes, outer cartons, and documents/papers. "More is more," so a double layer of bubble wrap, for example, definitely provides more protection. Feel free to use a used box as packaging material. A used and particularly sturdy box is better than a new one that is too thin and not strong enough. Use strong and particularly tear-resistant tape to seal the box securely.
Use the enclosed shipping label from UPS, Galle, or DHL and attach it to the box in a clearly visible place without any risk of it falling off. Feel free to use glue and/or tape for this. Under no circumstances should the recipient's name be allowed to reveal the contents of the shipment (NO GO, "Gold & Diamonds Shop “Super expensive”, Königsallee 7, Düsseldorf – BETTER, attention: Mr. Müller, G+D Shop, store ground floor, Königsallee 7, Düsseldorf). In an emergency, the shipping service provider will correct the address and deposit the package in the warehouse. The recipient can also pick it up there in person.
Feel free to use stickers with the warning "Caution: Fragile" to prevent damages.
Under no circumstances should you mention the contents of the package on the package. Absolute NO GOs are marks such as "Caution: Expensive Watch" or "Particularly Valuable Contents”. Under no circumstances should you mention to the driver what is in the package or what its value is.
Only drop off the package directly with DHL, UPS, or an authorized shipping partner, without exception. Ideally, have the package picked up by a driver from the aforementioned shipping service provider. Dropping off at DHL shops, UPS Access shops, or other drop-off points (dry cleaners, shoe/key services, stationery stores, etc.) is explicitly NOT permitted and violates both the shipping service provider's terms and conditions and the Westside Watches terms and conditions.
Make sure that the driver or the person receiving the package scans it in front of you and clearly audibly (beep). Ask for a receipt when dropping off/picking up the package, or have the pickup/drop-off receipt sent to you by email (e.g., with UPS). Keep the receipt carefully. It serves as proof that you have properly handed over the package to the shipping service provider.
Feel free to take a picture of the package being handed over and ask for the name of the pickup driver. If necessary, take a photo of the pickup driver's ID card.
If the recipient of the package does not yet have the tracking number, send them the tracking number of the shipping service provider immediately after dropping off/picking up the package and inform them when the package is expected to be delivered.
Monitor the progress of your shipment using the tracking number.
Notify the shipping service provider immediately if the status of the package does not change (e.g., no movement for more than two days). If the package does not move for an extended period of time, report it as missing to the shipping service provider and submit a tracking request. Report the status to the recipient immediately after initiating the tracking request.
Under no circumstances should you send the package on Fridays or the day before a holiday. This will prevent the package from being held in the shipping service provider's depot over the weekend and/or on a holiday
